Contact Rules

The Contact Rules feature allows the user to define certain rules or select fields that must either be filled in or be blank for a set of contacts. It is possible to specify the contacts that the rules should relate to by Contact Type, Contact Status, Membership Class and Membership Status.

This replaces the ‘Mandatory Fields’ feature. The mandatory fields would make sure certain fields were filled in on a Contact, however this would be for all types of Contacts. You may actually have a certain type of contact that requires specific information to be filled in but another type of contact that needs other information to be filled in; the contact rules allows for this. Reports

The ‘Report Section’ now shows in the Selection Criteria area of the Reports screens.

New Contact Wizard

A new option has been added to the Subscriptions area - ‘As Last New Contact’. This allows Subscriptions to be added to the new contact in the same way as the last new contact that was entered.

The ‘add’ options have changed slightly on the Employment Details, Groups and Pay Source Details screen. By clicking ‘Add’, a completely new item will be added. The drop down on the ‘Add’ button will give you multiple options, these are;

'As Last Added’ – This will add a new item in the same way as the last new item that was added.
‘As Last New Contact’ – This will add all the items in the same way as the last new contact that was entered.

The user will be prompted before the New Contact Wizard closes. This is to help prevent mistakenly closing the dialog and losing any information that has already been entered.

When a fields label is clicked to either include or exclude that field from the duplicate search, a search is automatically performed, regardless of the number of characters entered.

There is now an ‘As Last New Contact’ button which shows when on the Personal Details area. This will add Subscriptions, Employment Details, Groups and Pay Source Details the same as the last new contact that was entered.

If an area is selected to merge with on the Merge Options menu, the menu now stays open.

With the notes now in plain text, working with them is much simpler.

The loading of batches in the check-off screen has been optimised for improved performance.

Update

The 'Update Database Statistics' process has been taken out of the update procedure.

Events

Substantial changes have been made to the Events screen. The layout has been altered so it is cleaner looking and gives more room for things such as the 'Description' field. There is a toolbar at the top of the screen where most of the actions (e.g. saving, adding bookers and delegates etc.) are now performed.

Notes can now be entered on an event as well as times for the Start and End Dates.

Events - Sub Events

To modify a sub event you must now double-click on the sub event in the list. A dialog will appear allowing you make changes to the sub event. There are a few new options available on a sub event:

Allow Defined Rates Only – Only the rates that have been applied to the sub event can be used - i.e. if a contact does not fit into a rate (e.g. they are not a member) then they will not be able to book onto the sub event.

The time can now be specified on a sub event.

Events - Rates

You may have different rates for members, students or non-members ans so forth. These can now be controlled and allocated using 'Rates'. You must first define a rate and specify which subscription classes belong to that rate, e.g. you may call a rate ‘Member’ and associated any subscription classes that indicates a member to that rate. The rate can then be added to a sub event and you can specify costs for that rate for the specific sub event.

In the sub events grid you will notice a small ‘plus’ icon, by clicking this you can quickly see the associated rates and their costs.

Events - VAT Rates

There have been changes to how the VAT is used within the Events screen. Rather than the VAT rate being set on a booking, it is now set per sub event booking, which allows for greater flexibility as the VAT rate can be different per sub event.

If the country of the booker does not attract VAT, then VAT rate will not be set.

Please note that this has affected the creation of invoices and the transfer to accounts process.

Demand Adjustments
Only demand adjustments that are greater than £0 and where the associated demand has already been transferred will be available for transfer. These will create a ‘SC’ allocated to the ‘SI’.

Payments
Only payments that are greater than £0, not rejected and where the associated demand has already been transferred will be available for transfer. The batch must also be released to accounts and if it is a BACS batch the rejections must have been processed in order for the payments to be transferred.

Any refunds that are made will have to be manually entered into Sage. A lot of the time corrections will need to be made in Sage to handle any refunds and these corrections can only be made through Sage itself. Due to this, refunds are prevented from being available for the transfer process. We can provide a report to show you all the refunds in a date range, so these can be manually entered into Sage, or you can use the ‘Reports > Payments’ screen to find this information.

When setting up the default communication in the merge settings area, the date, user and date added are now disabled as these get set automatically when the communication is created. Payment Batches

A payment batch can now be finalised for posting. This doesn’t have to be used, but can be useful, where different departments in your organisation are involved in the same batch. For example, the finance department may create the batch; the membership department add the appropriate payments; once the payments have been added, the batch is finalised for posting; the finance department can confirm the batch and post it.

Some slight changes have also been made to the batch screen to give you more information about the batch.
